TRUST & PARTICIPATION

Listening session guide

Create the conditions for useful feedback without asking people to relive harm.

Be clear about the purpose

Explain what the organization wants to learn, what it can change, and what it cannot promise. Never present a listening session as a confidential process unless its protections genuinely support that claim.

Set participation agreements

Give people the option to pass, contribute in writing, or leave. Do not require someone to disclose an identity or a personal experience to make their input count.

  • Use open questions rather than asking participants to defend a position.
  • Ask permission before taking attributable notes.
  • Avoid grouping identifying details in a small team.
  • Explain support and escalation routes before beginning.

Close the feedback loop

Return themes to participants for sense-checking where appropriate. Share what was heard, the actions being taken, and the reasons some requests may not be addressed.
